Workplace First Aid Kits: What They Must Contain, When to Replace Them and How to Choose the Right Kit

A first aid kit is one of the few things you buy hoping you will never use it. That is exactly why it is so easy to forget: it hangs on a wall for years, with expired solutions, no gloves or no gauze swabs, until the day someone cuts themselves, gets burned or faints. Or until the labor inspector shows up.

This guide explains why companies are required to have a first aid kit, what it must contain, where to mount it, how to check it, when to replace it and how to choose the right model for an office, a restaurant, a warehouse or a vehicle fleet. At every step you will find the right kits and refills from the Prima Shop catalog.

Why a first aid kit is mandatory

Occupational Safety and Health Law no. 319/2006 requires employers to take the necessary measures for providing first aid and to designate the workers who provide it. The minimum workplace requirements (Government Decision no. 1091/2006) specify that first aid equipment must be available wherever working conditions require it, properly marked and easily accessible.

Who must have one practically every employer

Companies, public institutions, schools and kindergartens, city halls, stores, restaurants and hotels, workshops, warehouses, gyms, practices and clinics. Labor inspectors check for it during inspections.

What the inspector checks ITM

Whether the kit exists, whether it is complete, whether the products are within their expiry date, whether it is easy to find and marked, and whether the company has designated and trained first aid workers.

Required contents Order no. 427/2002

The contents of the first aid kit for fixed workstations without medical staff are those set out in Order no. 427/2002 of the Ministry of Health and Family, which manufacturers of approved kits follow.

How it is signposted Government Decision no. 971/2006

The kit's location is marked with the first aid sign: a white cross on a green background, in line with workplace safety signage requirements.

For motor vehicles, road traffic rules apply, and for the transport of dangerous goods, the equipment required by ADR. You will find them below, under choosing a kit.

What the kit must contain: the full contents list

These are the contents of the fixed-workstation kit, as listed in the data sheets of approved kits. Grouped by purpose, they are easier to check during inventory.

What is worth adding, depending on the activity

The basic contents cover cuts, scrapes, bleeding and simple immobilization. Some workplaces have risks that the standard kit does not cover well:

Where to mount the kit and who is responsible for it

Rules for a good kit location
  • Visible and marked, with the first aid sign above it, so anyone can find it within seconds.
  • Unlocked and at a height anyone can reach, not in a closed office or a locked cabinet.
  • Close to high-risk areas: kitchen, workshop, loading area, gym.
  • Protected from moisture, heat and frost: not in the bathroom, not next to a radiator, not in the sun, not in an unheated storeroom.
  • With a list next to it: the names of workers trained in first aid, the 112 number and the exact address of the location.

How many kits you need

The main guideline is that the kit can be brought quickly from any work area. For an approximate number, many companies use the recommendations of the British standard BS 8599-1:

Type of activityFewer than 25 people25 – 100 peopleMore than 100 people
Low risk (offices, stores, libraries)1 small kit1 medium kit1 large kit per 100 people
High risk (manufacturing, warehouses, construction, kitchens)fewer than 5 people: 1 small kit; 5–25: 1 medium kit1 large kit per 25 people

Besides the number of employees, distance matters: in buildings with several floors or wings, each floor or isolated area needs its own kit.

24
Months, usually

When to replace the kit

The kit itself does not “expire”: the case, the bracket and the instruments stay good for years. What expires are the sterile contents and the solutions, and the earliest expiry date of any component sets the expiry date of the whole kit.

1At installationWrite down in the notebook the installation date and the earliest expiry date in the kit.
2MonthlyThe designated person checks that the kit is complete, dry and with intact packaging.
3After each useRecord what was used and restock immediately, not “with the next order”.
4At expiryReplace the contents with the refill kit, while the case and bracket stay on the wall.
Replace components immediately, not at expiry, if
  • The packaging of a sterile product is torn, damp or opened: sterility is guaranteed only as long as the packaging is intact.
  • Solutions have changed color, evaporated or the bottle no longer seals tightly.
  • The kit has been exposed to severe cold, heat or moisture.
  • Gloves, gauze swabs or scissors, the most frequently used items, are missing.
  • The refill kit for the fixed first aid kit contains the 11 products with an expiry date: rubbing alcohol, 0.1% rivanol, 1% iodine tincture, hydrogen peroxide, two rolls of adhesive tape, individual and rivanol dressings, adhesive plaster, sterile absorbent cotton wool and sterile gauze swabs. Each is labeled with its expiry date, and the contents list with the next inspection date can be cut out from the box. Shelf life: another 24 months.
  • It fits both fixed and detachable kits. For the vehicle kit there is a separate refill kit, with dressings, adhesive tape and sterile gauze swabs.
  • If just one item has run out, any component can be bought separately: sterile gauze swabs, examination gloves, iodine tincture or rivanol.

What to do in the first few minutes

A kit is only useful if someone knows what to do with it. The steps below do not replace a first aid course, but it is a good idea to post them next to the kit.

  1. Make sure the scene is safeDo not approach electrical current, traffic, fire or chemicals until the hazard has been stopped.
  2. Call 112Say what happened, how many people are injured, the exact address, and answer the dispatcher's questions. Do not hang up first.
  3. Put on glovesProtect yourself and the victim from contact with blood and other fluids.
  4. Stop the bleeding with pressurePress directly on the wound with sterile gauze swabs and do not lift them to check. The tourniquet is only for massive bleeding from a limb.
  5. Cool the burn with waterHold the burned area under cool running water for about 20 minutes. No ice, no oil, no toothpaste.
  6. Do not move the victim without reasonEspecially after a fall or an impact, unless they are in immediate danger. The thermal blanket protects them from the cold.
  7. Record and restock the kitWrite in the notebook what happened and what you used, then restock the kit the same day.

Common mistakes

  • The kit is locked in the boss's officeIn an emergency, nobody looks for the key. The kit must be accessible to everyone, at all times.
  • Nobody knows when it expiresWithout a designated person and a recorded date, the kit sits with expired solutions for years.
  • Buying a new kit when it expiresThe case and instruments stay good. The refill kit costs less and replaces exactly what expires.
  • Gloves are missing after the first useWhatever is used gets restocked immediately, not at the next check.
  • The kit is kept in the bathroom or next to a radiatorMoisture and heat damage sterile dressings and solutions before their expiry date.
  • Using the vehicle kit in the officeThe vehicle kit has different contents, designed for road accidents. The workplace needs the fixed-workstation kit.
  • Nobody is trainedThe law requires designated first aid workers. A kit without trained people is just a box on the wall.

Frequently asked questions

Is a first aid kit mandatory even for a small company with a single employee?

Yes. The obligation to provide first aid in the workplace applies to every employer, regardless of the number of employees. For a small office or store, a complete, in-date fixed kit is usually enough.

How long is a first aid kit valid?

Most approved kits have contents valid for 24 months. Some kits state a minimum of 18 months. What always counts is the expiry date of the earliest-expiring component, not the purchase date.

Can I replace only the expired products?

Yes. The refill kit contains the 11 products with an expiry date, and any component can also be bought separately. The instruments and the case stay.

Can the vehicle kit be used in the workplace?

It is not recommended. The vehicle kit has different contents, in line with motor vehicle regulations, and does not include, for example, the solutions and all the supplies in the fixed-workstation kit.

Can I put medicines in the first aid kit?

A first aid kit does not contain medicines, and their administration by coworkers without medical training can do more harm than good, because of allergies and interactions. Treatment is decided by a doctor.

Who is responsible for the kit in the company?

The employer, through the person designated for occupational safety and health or through the designated first aid workers. They check the kit, keep a record of uses and request restocking.
